  • What is NDIS plan management?

NDIS plan management is a service that helps you manage the financial and administrative parts of your NDIS plan. A plan manager pays your providers, tracks your budget, and keeps records for you. This lets you stay in control of your choices without the stress of handling all the paperwork.

  • What is the difference between self managed, plan managed, and NDIA managed?

    • Self managed: You handle everything yourself — choosing providers, paying invoices, and keeping financial records.
    • Plan-managed: A plan manager takes care of the financial and admin tasks, while you maintain choice and control.
    • NDIA-managed (agency managed): The NDIA pays providers directly, but you can only use registered providers.

Each option offers different levels of flexibility, control, and responsibility.

  • Who can use plan management?

Anyone with an approved NDIS plan can choose plan management. During your planning meeting, you can ask for “Improved Life Choices” to be included in your plan, which covers the cost of a plan manager.

  • Does it cost me anything to use a plan manager?

No. Plan management fees are fully covered by the NDIS under the “Improved Life Choices” category. You don’t need to pay anything out of pocket for this service.

  • What are the benefits of NDIS plan management?

    Plan management gives you:

    • Access to both registered and unregistered providers.
    • More control and flexibility over how you spend your funds.
    • Support with budget tracking and financial record-keeping.
    • Less admin so you can focus on achieving your goals.
  • How do I choose the right plan management option?

Think about how much time you want to spend on admin tasks and how confident you feel managing finances. If you want flexibility with less paperwork, plan management is often the best choice.

  • How do I apply for the NDIS?

You can apply for the NDIS by contacting the National Disability Insurance Agency (NDIA). They’ll check your NDIS eligibility and guide you through the application process. Once approved, you can choose a plan management option that works best for you.

  • How long does the NDIS application take?

The NDIS aims to make decisions within 21 business days after receiving a complete application, but processing times may vary depending on the complexity of your case.

  • Where can I apply for the NDIS?

You can apply online, by phone, by post, or in person at your local NDIS office.

  • Can someone help me complete my NDIS application?

Yes. You can ask a family member, carer, health professional, or Local Area Coordinator to help you fill out the form and gather evidence.

  • What if I am not eligible for the NDIS?

If you are not eligible, you may still be able to access community or health supports through other government programs. The NDIA can guide you to suitable alternatives.

  • What if my child is younger than 9?

Children under 9 are supported through the Early Childhood Approach. You’ll work with an early childhood partner instead of applying directly to the NDIA. They’ll help you understand your child’s needs and connect you with supports early.

Find a partner near you via the NDIS Early Childhood page or call 1800 800 110.

  • What if my application is not approved?

If your application isn’t approved, you’ll receive a letter explaining the reasons. You can request a review if you believe the decision doesn’t reflect your situation. You’ll need to respond within three months of the decision letter — the NDIS website explains how to do this under Request a review of a decision.

  • Can I reapply if I wasn’t eligible before?

Yes. If your circumstances change, or you have new evidence about your disability or support needs, you can apply again. There’s no waiting period, however, just make sure your information is up to date when you reapply.

  • Has the NDIS changed plan management pricing recently?

Yes. From July 2025, the NDIA is removing remote loadings and moving to one national price limit. The one-off set-up fee will also be removed, meaning funding will now focus on ongoing support rather than administration.

  • Can I choose any provider when I’m plan managed?

Yes. One of the biggest benefits of plan management is flexibility. You can choose both registered and unregistered NDIS providers when plan-managed, as long as the supports you purchase are reasonable and necessary under your plan.

  • Can I keep my plan manager if my plan is renewed or reassessed?

Yes, you can. When your plan is reviewed or renewed, simply tell your planner or LAC that you’d like to continue with your current plan manager. There’s no need to reapply for that support.

  • What happens to my plan management if I move to a new state?

Your plan manager can usually continue supporting you as long as they are registered to operate nationally, which most are. Just update your address with the NDIA so your information stays current.

  • How fast are invoices paid?

We always aim for same day processing with many claims going through within hours.  Most invoices submitted to us are paid within 2 to 3 business days.

Because the NDIS is complicated we may ask providers to make amendments to invoices to ensure it’s not rejected by the NDIA, it’s compliant and it gets paid.  We have invoice coaching and support for independent workers and anyone else who would benefit.  We always prefer clear PDF formats to speed up the process, but our industry-leading system can read legible hand written invoices.

  • How do I refer a participant to All Plan Management?

Referring is easy. Once the participant has agreed, you can start the switch in just three simple steps. Fill in our online form, have the participant sign their service agreement and we’ll contact them and the NDIS to make the change, so you don’t have to. We know endorsement calls chew through your coordination budget, so let our experienced team work directly with the participant.

  • Can I track participants’ budgets?

Yes! Our advanced support coordinator portal provides real-time visibility, allowing you to see available balances and ensure supports align with plan funding, including s33 and funding period plans.

  • Can I contact a participant’s plan manager directly?

    Yes, we make this easy.

With a participant’s permission, we can add you to their support team and keep you in the loop. Consent is included as part of our sign up process, and participants can update their team at any time with a quick call.

Once that is done, we can add you to the portal and speak with you openly about the plan and how it is tracking.

  • What happens if a participant switches mid-plan?

Participants can switch to All Plan Management at any time. There is no need to wait for a new plan to start.

Once the switch is complete, the current active plan manager is the only plan manager who can submit claims on the participant’s behalf. Previous plan managers are unable to claim invoices once they are no longer active on the plan.

Invoices issued before the switch can still be sent to us after the transition, and we will manage the changeover. The NDIA applies a two year time limit on NDIS claims, so invoices must be within this timeframe to be paid.

There are some exceptions depending on timing and circumstances. If anything is unclear or there are difficulties during the transition, our team is always available to help.

  • Can I switch from self managed or NDIA managed to plan managed?

Absolutely. You can change how your plan is managed at any time. Reach out to your Local Area Coordinator (LAC), NDIA Planner or Support Coordinator to help you to switch to plan management.

  • How can I get paid faster as an NDIS provider?

To get paid faster, ensure your invoice includes all required NDIS details, correct line items and pricing, and submit it digitally as a clear PDF. For a simple step by step guide, read our blog: 3 steps to getting paid faster as a provider with All Plan Management

  • Can I use handwritten invoices?

The simple answer is yes you can, but to ensure there are no delays with payment it is recommended your invoice be submitted in PDF format to guarantee receipt is successful. If handwritten is your only option, please save as PDF and then email for faster processing.

  • How do plan managers and support coordinators work together?

Plan managers and support coordinators have distinct roles, but they work best in partnership.

A support coordinator focuses on implementing the participant’s plan, connecting providers, coordinating supports and preparing for reviews. A plan manager manages the financial administration, reviewing invoices, ensuring compliance with NDIS pricing rules and tracking budgets.

Working together, they navigate complex situations, respond to changing needs and interpret NDIS guidelines to ensure there are clear, practical options available. Different responsibilities, one shared goal: giving participants clarity, protection and the best possible chance of achieving their outcomes.
