Whether you are new to the NDIS or you have been working with a plan manager or support coordinator for years, at some point most people pause and ask: what is the difference between these roles?
What should a plan manager be doing? What is a support coordinator responsible for? And how do they work together?
Both roles play an important part in helping you get the most out of your NDIS plan, but they have very different responsibilities.
Understanding the difference gives you more control over your NDIS plan and peace of mind that your plan manager and support coordinator are working together well, without duplication or confusion.
What does a plan manager do in the NDIS?
An NDIS plan manager is your fully funded budget partner. They take care of the financial side of your plan so you do not have to.
They review and pay your providers’ invoices, keep track of your spending and provide updates so you always know where your budget stands. They understand the NDIS price guide and funding rules inside out, helping you stay within guidelines while making sure providers are charging correctly.
One of the biggest benefits of choosing plan management is flexibility. You can use both registered and non registered providers, while your plan manager handles the compliance, claims and payments behind the scenes.
If you have paid for a support yourself, they can process reimbursements. With your permission, they can also speak directly with providers to sort out invoicing questions, so you’re not stuck in the middle.
Good plan management gives you flexibility, control and peace of mind. It means the financial details are taken care of properly, so you can focus on building the life you want.
What does a support coordinator do?
A support coordinator is funded to help you bring your NDIS plan to life. Unlike a plan manager, they are not limited to financial administration. They work directly with you, usually on an hourly basis, to understand your goals, connect you with the right providers, coordinate supports and prepare for plan reviews where needed. They help you navigate challenges, resolve issues with services and build your confidence over time. Importantly, their role is not limited to connecting you to NDIS funded supports. They can also help you explore community and mainstream options, supporting you to build a broader vision for your life.
Plan manager vs support coordinator: key differences at a glance
Now we know what each role broadly does, here’s a handy comparison checklist.
Plan manager
A plan manager:
- reviews all invoices and makes claims on your behalf to the NDIA
- pays your providers directly once the claim has been successful
- explains funding rules and financial responsibilities to you and your team
- manages budgets, plan updates, and statements
- provides guidance on claiming, pricing and dispute processes
- tracks budgets and flags over or underspend
- keeps you informed through spending updates
- gives you smart technology so you can approve your own invoices
- takes care of the compliance so you don’t have to
- liaises with providers if you give permission and
- provides an extra layer of protection against fraud, overcharging and safeguarding.
A plan manager does not coordinate your services or manage difficult or changing circumstances, their role is to protect and administer your NDIS funding, while partnering with you and your support coordinator to keep your plan on track. Unlike support coordinators you pay on an hourly basis, plan managers are paid a fixed monthly fee.
Support coordinator
A support coordinator:
- works directly with you to understand your goals and priorities
- understands the way your plan is built and works with you to build a support schedule that is within budget and works for you
- helps you find and choose providers, makes referrals and assists with service agreements
- plans and coordinates your supports, appointments and community connections
- provides guidance on choosing suitable providers and supports
- discusses funding options when your support needs change
- prepares reports and supports you ahead of plan reviews
- helps you navigate challenges or changes in circumstances
- supports you to access other government services like health, housing, and education
- builds your confidence and skills over time
- explores options beyond NDIS funded supports to support your life vision.
A support coordinator is not responsible for submitting claims or paying providers. They usually work with you on an hourly basis to coordinate services, relying on your plan manager to manage the financial side and ensure everything stays within NDIS guidelines.

How plan managers and support coordinators work together in practice
As an example, you might need support from an exercise physiologist and this connects directly to one of your NDIS goals.
Your support coordinator will work with you to find a suitable provider, make a referral and put a service agreement in place. They help ensure the provider understands your goals and what outcomes you are working towards.
Before services begin, the service agreement can be shared with your plan manager. This allows the relevant budget to be ring fenced, meaning the funding set aside for exercise physiology is protected from overspend or from other services claiming against it. This gives you certainty that the support you rely on will remain available.
Once services are delivered, the provider usually sends the invoice directly to your plan manager. The plan manager reviews it carefully to ensure it meets compliance requirements before submitting the claim. This includes checking that:
- the correct NDIS line item has been used
- the rate aligns with the NDIS price arrangements and price limits
- the service dates fall within your plan period
- your details and the provider’s ABN are correct
- the invoice contains all required information for a successful claim
If you have chosen to approve invoices yourself, you will see the claim in your app and may receive an email giving you the option to approve or reject it before the claim is made.
In this example, your support coordinator focuses on setting up the right support and guiding providers to focus on your goals, while your plan manager protects your funding, ensures claims are compliant, and providers are paid promptly. Different roles, working together to keep your plan secure and on track.
As you can see, plan management and support coordination work hand in hand to support you to get the most of your NDIS plan so you can focus on what truly matters.
At All Plan Management, we work closely with support coordinators to make sure your NDIS plan and funding support your goals and give you the life you want to live.
